Your rota. On your machine. — Read Me

Staff rota planning for care homes and small organisations, running entirely on your own computer — Mac or Windows PC. It uses the same scheduling engine as the App Store edition, with no account, no login and no cloud.

Requirements

The two editions are the same app and the same rota. A backup exported on a Mac restores on a PC and vice versa.

Installation — Mac

  1. Download the .dmg from the App Market.
  2. Open it and drag Toi 'n' Moi® Rota Management Local onto the Applications folder shown beside it.
  3. Open it from Applications.

It will just open. The app is signed with our Apple Developer ID and notarised by Apple, so there is no “unidentified developer” warning and no right-click → Open workaround needed.

If macOS ever does warn you about this app, something is wrong — please don't work around it. Email us instead.

Installation — Windows

  1. Download the -setup.exe installer from the App Market.
  2. Run it. It installs for your user account only, so it should not ask for an administrator password — useful if you aren't an administrator on your work PC.
  3. Windows will show a blue warning the first time. This is expected — see below.

Windows will say “Windows protected your PC”. This is expected. Click More info, then Run anyway.

Here's what that message actually means, so you can judge it for yourself rather than take our word for it. Windows shows it for any installer it hasn't seen often enough to have built up a reputation for. We haven't bought a Windows code-signing certificate for this release, so our installer starts with no reputation at all and every download triggers the warning. It is not a virus alert, and it does not mean Windows found anything wrong with the file — only that it doesn't recognise it yet.

Two things you can check before clicking through, and you should:

  • Under More info, the Publisher will say Unknown publisher — that is consistent with what we've said here.
  • Only trust the copy you downloaded from https://toinmoi-ai.com. If you got this installer from anywhere else — an email attachment, a USB stick, another website — delete it and download it again from us. That warning is worth heeding for a file whose origin you can't vouch for.

The Mac edition is signed and notarised by Apple and shows no such warning. The difference is which certificate we've bought, not a difference in the app.

Updates are signed on both platforms. Whatever the first-run warning says, the app will only ever install an update that carries our own cryptographic signature — on Windows as well as on the Mac. An update that someone had tampered with in transit is rejected and never runs.

Getting Started

The app opens straight to the Dashboard. There is nothing to sign up for and no account to create.

A sensible first hour:

  1. Organisation — your name and details. This appears on printed rotas.
  2. Staff — add your team. Contracted hours and skills are what the auto-scheduler reasons about, so they're worth filling in properly.
  3. Clients — the people you provide care to.
  4. Services and Shifts — the shift patterns you actually run.
  5. Rota — pick a week and press Auto-Fill.

In a hurry? Bulk Data takes an Excel workbook and imports staff, clients, shifts and availability in one go. Download the template from that screen — it has a sheet per dataset.

You can do all of this on the Free tier, permanently, with up to 5 staff.

Dashboard

Your week at a glance: staff count against your plan, upcoming shifts, compliance warnings, pending time-off requests.

Rota

The heart of it. Pick a week and:

Staff

Your team: contracted hours, skills, availability, training records, time off. The availability grid is a fast way to set who can work when.

Clients

The people you serve, their required services, and their preferred or assigned staff.

Team Leaders

Nominate a leader for a client, permanently or for particular shifts. The scheduler will favour them where you've told it to.

Groups

Group staff and clients that belong together — the scheduler keeps them together.

Holidays, Contracts, Important Dates

Bank holidays, contract terms, and dates that matter (reviews, renewals, birthdays).

Training & Compliance

Record training and expiry dates. The scheduler can refuse to roster someone whose mandatory training has lapsed — turn that on in Priority Settings.

Priority Settings

The part most people end up caring about. Every scheduling rule is listed; drag them into the order your organisation actually works to, and switch off the ones that don't apply. The auto-scheduler follows your order. Some rules block an assignment outright (someone is unavailable); others just make it more or less preferred. The screen says which is which.

Licence

Your plan, your seat count, and where you buy or paste a licence key. Also where you check for app updates.

Backups — please read this bit

Everything lives in one database file — in your Application Support folder on a Mac, or under your AppData folder on Windows. It belongs to your user account, so it is not visible to other people who sign in to the same computer.

Moving to a new Mac: export a backup, install the app there, restore.

Billed monthly, cancel any time. Buy from the Licence screen — it opens Stripe in your browser, so card details never touch this app or our servers. Your key arrives by email and activates automatically.

The seat cap is real: above it, auto-fill and saving pause until you move up a plan or reduce staff. Everything else keeps working, and your data is never touched.

Cancelling stops the renewal; the app keeps working until the period you've paid for runs out, then returns to Free. Nothing is deleted, and nothing is cut off mid-week.
